This Privacy Policy describes how PG Emissary ("the Service"), including the Discord bot and web application at pgemissary.com, collects, uses, and protects your information.

2.1 Discord Bot

When you interact with the PG Emissary Discord bot, we may collect and store:

  • Discord User ID — your unique numeric Discord identifier
  • Discord Username — your current Discord display name
  • Guild (Server) ID — the ID of Discord servers where the bot is present
  • Command Usage — which commands you invoke and associated parameters (e.g., subscription preferences, timer settings)
  • Message Content — the bot does not read or store general message content; it only processes slash command interactions directed to it

2.2 Web Application

When you use the PG Emissary website, we may collect:

  • Discord OAuth2 Data — upon login, we receive your Discord user ID, username, avatar, and guild memberships from the Discord API
  • Profile Information — optional data you provide such as your in-game character name, preferred game server, bio, and timezone preference
  • User-Generated Content — marketplace listings, activity posts, guild recruitment posts, comments, reviews, and timer configurations
  • Usage Data — last login timestamp and page visit patterns for analytics (no third-party tracking services are used)

2.3 Information We Do Not Collect

  • We do not collect email addresses, real names, physical addresses, or payment information
  • We do not read or store Discord direct messages
  • We do not use third-party analytics, advertising, or tracking services
  • We do not collect data from minors knowingly; the Service is intended for users who meet Discord's minimum age requirement

3. How We Use Your Information

We use collected information to:

  • Provide and operate the Service (display listings, schedule activities, deliver notifications)
  • Authenticate your identity via Discord OAuth2
  • Deliver subscription-based notifications (druid alerts, midge barters, almanac events, etc.) that you have opted into
  • Display your public profile, marketplace listings, and activity participation to other users
  • Enforce our Terms of Service and moderate content
  • Generate aggregate, anonymized usage statistics (total users, listings created, etc.)

4. Data Storage and Security

  • Data is stored in a PostgreSQL database on servers we operate
  • Authentication sessions use signed JWT tokens stored in HTTP-only cookies
  • We use HTTPS encryption for all web traffic
  • Access to the database and administrative tools is restricted to authorized operators
  • While we take reasonable measures to protect your data, no system is completely secure and we cannot guarantee absolute security

5. Data Sharing

We do not sell, rent, or share your personal information with third parties, except:

  • Public Content — marketplace listings, activity posts, guild recruitment, reviews, and profile information you choose to make public are visible to other users of the Service
  • Legal Requirements — we may disclose information if required by law or to protect the rights, safety, or property of the Service or its users

6. Data Retention

  • Account data is retained as long as you use the Service
  • Marketplace listings are retained for price history and community reference
  • You may request deletion of your account data by contacting us (see Section 9)
  • Expired content (timers, activities, barter offerings) is automatically cleaned up by the system

7. Your Rights

You have the right to:

  • Access your stored data through your profile and dashboard pages
  • Correct your profile information at any time via the profile edit page
  • Delete your content (listings, activities, timers) through the Service interface
  • Opt out of notification subscriptions at any time via the bot's subscription commands or the web subscriptions page
  • Request full deletion of your account data by contacting us

8. Discord Bot Permissions

The PG Emissary Discord bot requests the following permissions:

  • Send Messages / Embed Links — to respond to commands and deliver notifications
  • Use Application Commands — to register and respond to slash commands
  • Read Message History — to support command interactions in channels

The bot does not request or use permissions to read general message content, manage server members, or access voice channels.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through site announcements or Discord notifications. The "Last updated" date at the top reflects the most recent revision.
